We are looking for a brilliant Chief of Staff to support our Founder and COO, channelling their direction effectively across the entire business. You will enable the continued explosive growth of the Alpha Vet brand by helping our Founder and COO to prioritise their time on the most strategic and important topics, maximising their effectiveness by ensuring that meetings and materials are prepared to a high standard, following up on actions and helping to make connections across the business. We are looking for someone with exceptional organisational skills, experience in a high-growth, creative business environment, strong problem-solving skills, great communication skills an insatiable ambition and an entrepreneurial mindset. The successful candidate will naturally go above and beyond, with resilience and enthusiasm, always staying 10 steps ahead.

The Webinar Vet are leaders in delivering expert webinars and conferences to the veterinary profession and as part of this new role you will be required to undertake a key role in the Operations team. Reporting into the COO, you will be expected to manage key projects, support with Human Resources and strategy of the business and to ensure we always over deliver and provide the very best service possible. Typical responsibilities include:

  • Leadership Support
    • Helping leadership think through org structure and team dynamics
    • Supporting with new business launches
    • HR
    • Filtering emails & sending all the 'easy' responses; drafting (but not sending) the more complex ones
    • Writing presentations
    • Having a log in to CEO & COO LinkedIn (and similar) to filter all incoming messages
  • Company Routines & Discipline
    • Defining rhythm of all company meeting routines - quarterly, weekly etc.
    • For each meeting, ensuring the right objectives, attendees, agenda and follow-up
    • Co-ordinating internal communications
    • Co-ordinating preparation for board meetings
    • Running multi-functional offsites (e.g. Strategy)
  • Special Projects, such as:
    • Cross-functional initiatives
    • Tangential strategic opportunities
    • Corporate/ business development (if not too time consuming)
    • Office moves
    • HR / policy updates
  • Interim Roles
    • Stand in for key functional leadership positions when vacant

The perfect person:

  • Experience of working in a Founder led creative business
  • Excellent communicator in written and verbal form
  • Proven success in planning and leading cross functional projects
  • Analysis and manipulation of data & budgets to enable forecasting and decision making
  • HR experience
  • Excellent workload prioritisation and ability to multi-task whilst maintaining high levels of attention to detail and meeting deadlines
  • Comfortable with ambiguity, change, demonstrating resilience and ability to work at pace
  • Can demonstrate ability to build productive relationships across all levels, with strong influencing and networking skills
  • Utterly discreet and used to managing confidential information and projects
  • Proven acumen to handle complex situations and multiple responsibilities, bringing calm and focus when needed
