Main purpose of the job
To provide a warm welcome to all parents and schools.
To undertake duties as directed by management.
To operate the telephone system. To be first port of call to answer telephone calls and deal with enquiries.
To deal with all parents and schools in an appropriate and professional manner.
Supporting Growing, Teaching & Learning
To assist the Senior Leadership Group in their duties to ensure that the club meets its goals and aims.
To promote the highest standards of professional ethos within the administrative function of the school and strategically ensure the most effective use of resources in support of the clubs objectives.
× To ensure the highest degree of welcome for schools or parents telephoning
× Assist with arrangements for visits for meetings for management
× To act as the main person receiving calls and dealing with as appropriate
× To ensure that schools and parents are aware of policies
× To develop a Support Center to automate your work
× To check and monitor enquiry e-mails and forward to relevant staff members
× To collate information and produce weekly newsletters
× Organise club registers and follow up on parents special requests
× Build data in the CRM
× Organise meetings with new schools
× Be able to set up meetings with schools for new clubs
× Be aware of and comply with school policies and procedures relating to child protection, health, safety and security, confidentiality and general data protection, reporting all concerns to an appropriate person
× Participate in training and other learning activities and performance development as required
× To administer all clubs timetables
× To maintain up to date records
× Co-ordinate distribution, return and collation of annual data collection sheets
× To order, collate and distribute materials for clubs
× To check and monitor pupil attendance
× To deal with refund requests or coupons
× To produce statistical reports for materials purchased
In addition: To perform any other duty which is linked to this role.
Good numeracy/literacy skills RSA Level 2 or equivalent
Level 2 to include: Experience of working in a school or after school club
NVQ 2 in Business Admin or equivalent
qualification in relevant discipline
Experience of reception work/ general Experience of Zendesk/Freshdesk
Clerical/ administrative work and other school based computerised systems
Good keyboard skills
Use of ICT including data input Experience with financial procedures
Excellent communication skills A good knowledge of safeguarding and
Child Protection procedures
