About Us: We are a fast growing beauty accessories start-up based in London. We sell online as well as through some fab retailers, including Boots, ASOS and Urban Outfitters. Things are moving pretty quickly and we need to grow our team to include a super organised Executive Assistant who can support all areas of the business. 

Type of job: Full-time, however we’d be open to part-time for the right applicant. We are flexible about hours!

Where: At least one day per fortnight at our co-working space in central London, and the rest can be remote if needed.

 

Role:

  • We are growing quickly and we need someone to kick our butts into shape and help us to plan and implement systems and processes for all areas of the company
  • Independently provide high-quality administrative and personal support to the CEO and department heads
  • Managing diaries and making sure everyone is where they need to be, while anticipating needs, objectives, and challenges of all stakeholders
  • Effectively managing inboxes, preparing reading materials and ensuring priorities are managed, screen incoming emails and correspondence, responding independently where appropriate
  • Participating in meetings and ensuring action points are noted and followed up on with all stakeholders, follow-up on agreed actions ensuring effective delivery
  • Helping with communication throughout the team, ensuring everyone is on the same page with projects
  • Effectively and compliantly managing team members expenses
  • Organising and managing company digital filing, making sure everything is where it should be and that the team knows where to find everything
  • Independently and effectively run projects and initiatives, such as PR projects, customer experience projects, factory research
  • Researching, ordering and mailing supplies.
  • Ad hoc researching to support all areas of the business, from sourcing sustainable fabrics to researching international beauty retailers- no two days are the same for us!

 

You are:

  • A self starter, able to keep yourself motivated even when working remotely
  • Always a step ahead - anticipating needs and providing proactive support to your team members
  • An organisational pro with great time management skills, which you’ve put to practice in the past, working with multiple Executives or Directors
  • Diligent with excellent attention to detail
  • Strong research and communication skills
  • Strong communication and someone who is confident and resilient when liaising with people of all professional levels
  • A true team player with a flexible approach to all aspects of the role and the needs of the business
  • Keen to work in the beauty/fashion industry with a fun and driven team!

 

You have:

  • 3+ years experience working as an EA or comparable role
  • Experience with IT systems such as MS office, Google Docs/Sheets/Slides etc, and a willingness to get stuck in with learning new softwares when needed.

 

Cherry on top:

  • Experience working in Beauty, Fashion or eCommerce
