  • About Gold Standard Phantoms

    Gold Standard Phantoms (GSP) is an established spin-out company from University College London, operating within the medical imaging industry. We develop, manufacture and sell specialised test objects, called phantoms, and advanced image analysis software services for use in testing the performance of MRI scanners and ensure that they operate in a standardised way. Our devices are used by clinicians, medical physicists, and radiographers around the world, empowering them to improve the quality of the MRI images they produce to diagnose illness, and investigate and research disease and new therapies. The company is entering a new growth phase, with the planned release of new products in the pipeline, and is establishing a new base in Sheffield, South Yorkshire.

    Role overview

    Gold Standard Phantoms is currently looking for a Sales Assistant / Sales Administrator to join our growing MedTech organisation based in Sheffield, made up of a team of engineers, scientists, and clinicians that are on a mission to enable medical imaging to move to a quantitative and reproducible scientific measurement methodology in order to revolutionise the field of radiology.

    To be our ideal candidate, you will have prior experience in a sales administrative role, preferably within a similar environment in life sciences, specifically medical devices / scientific products. You are self motivated, ambitious, and accountable, with excellent attention to detail and an eagerness to learn. It is essential that you have strong interpersonal skills and a positive, can do attitude, as you will be working as part of a busy team and will have direct contact with the company’s growing customer base.

    We are looking for someone who:

    • Supplies information, pricing and order information, and prepares quotations.
    • Processes orders from customers.
    • Generates work orders on issued purchase orders.
    • Keeps pipeline of quotations and orders up to date.
    • Maintains communication with customers on delivery times.
    • Checks product availability and orders with procurement.
    • Prepares shipping and receiving documentation.
    • Processes warehouse receipts, stock reconciliations, returns etc.
    • Plans and organises customer visits when required.
    • Performs sales administration duties, e.g. filing, archiving etc.
    • Wants to make a meaningful contribution to improving patient diagnosis and quality of life.
    • Enjoys working in start-up environments.
    • Performs other duties as and when reasonably required.

    For this position, the following requirements apply:

    • Commercial background and working experience in sales.
    • Experience with CRM management, preferably HubSpot.
    • Experience with proactively coordinating end-to-end sales order processes.
    • Understanding of sales SLAs and KPIs.
    • Familiarity within life sciences, specifically medical devices and scientific products.
    • Familiarity with R&D and production would be advantageous but not essential.
    • Ability to work on your own initiative and be able to prioritise workload.
    • Fluency in the English language is essential, and knowledge of another language would be advantageous.
    • Commuting Distance to our Sheffield Office.

    In addition, we consider it an asset if you also have:

    • Experience in working within an ISO 9001 or ISO 13485 compliant quality management system.
    • Experience working within an agile environment.
    • Familiarity with ERP Systems (SAP, NAV, etc).
