Resource/Traffic Coordinator

Working at the heart of The App Business you will play a critical role in planning the assignment of teams to the business-transforming projects we undertake for some of the world’s biggest organisations.

Reporting to the Head of Product Management and Operations, you’ll be responsible for maintaining and communicating an accurate picture of the deployment of our people and liaising with the Business Development team and project teams, HR and senior management to keep abreast of new projects and plan their resourcing. You’ll also help project teams to track resource utilisation against budgets to ensure work is profitable or problems are identified early.

YOUR KEY AREAS OF RESPONSIBILITY:

Resource management

Plan, manage and communicate up-to-date resourcing information by
Maintaining an accurate picture of resource allocation and forthcoming needs
Acting as the primary point of contact for resource requests and enquiries including reports of over or under-allocation or resource conflicts
Liaising with Product Owners and Scrum Masters to ensure any changes to resource requirements for existing projects are known and planned for
Liaising with Business development team to maintain awareness of and plan resources for forthcoming new projects
Maintaining awareness of existing and new project contracts and their associated resource requirements
Facilitating regular resource meeting with key stakeholders
Continuously improve resource management processes
Manage holiday requests and associated administration)
Manage sickness and absence reporting (contractors only)
Reporting and finance

Co-ordinate weekly resource reconciliations
Produce end-of-project reconciliations
Maintain up-to-date invoice tracker
Ensure timely issue of invoices
Approve time sheets
Approve contractor invoices
YOU MUST HAVE

2 – 3 years experience working in a busy office environment, ideally in technology, a creative agency or a related field.

Excellent interpersonal communication skills between a wide range of technical and non-technical internal and client stakeholders.
Strong organisational skills, with experience of prioritising effectively and juggling a diverse ‘to do’ list
The ability to evaluate and improve processes and systems, looking for ways to make TAB run more smoothly and efficiently
Boundless initiative and enthusiasm
Excellent literacy and numeracy skills including natural analytical capabilities
A personal drive to learn and improve
Excellent IT skills, with experience of using Google Docs, Apple iWorks software as well as Microsoft Office – you will be a dab hand with a spreadsheet.
Strong communication skills at all levels and in all mediums, from emails to formal documents and both written and oral presentations.
