Events Coordinator - 12 Month FTC at Our Future Health

  • We are looking for a highly motivated and organised Events Coordinator to join our team. As the Events Coordinator, you will be responsible for coordinating a wide range of events, including companywide conferences, townhalls, various stakeholder events throughout the year and team building activities.

    We are looking for a positive and motivated individual who enjoys problem-solving and delivering on both current and changing priorities. We need someone who is adept at building successful relationships with internal teams and third-party providers, and managing the expectations of our internal and external stakeholders.

    Our Future Health will be the UK’s largest ever health research programme, bringing people together to develop new ways to detect, prevent and treat diseases. We are a charity, supported by the UK Government, in partnership with charities and industry. We work closely with the NHS and with public authorities across all nations and regions of the UK.

    Our plan is to bring together 5 million volunteers from right across the UK who will be asked to contribute information to help build one of the most detailed pictures we have ever had of people’s health. Researchers will be able to use this information to make new discoveries about human health and diseases. So future generations can live in good health for longer.

    What you’ll be doing

    You will join our team as a pivotal Events Coordinator, driving the success of Our Future Health, which is set to become one of the world's largest health studies. In this role, you will be at the heart of the planning and execution of successful events.

    Your key responsibilities will include but not be limited to:

    • Understanding requirements for each event and providing expert advice on event planning and design.
    • Coordinating all aspects of event planning and execution, including budgeting, vendor management, and logistics.
    • Developing and maintaining strong relationships with vendors, including caterers, venue providers, and entertainment providers.
    • Creating detailed event timelines and ensuring all elements are executed flawlessly.
    • Negotiating with vendors to achieve the most favourable terms.
    • Managing event budgets, tracking expenses, and negotiating contracts with vendors to optimise cost-effectiveness.
    • Booking venues and scheduling speakers.
    • Conducting final checks on the day of the event (e.g. tables, technology) to ensure everything meets standards.
    • Collaborating with internal teams to ensure seamless execution of events, from conception to post-event evaluation.
    • Ad-hoc support for meetings and events for the wider team (within capacity).
    • Assisting colleagues where possible and demonstrating a willingness to help.

    Requirements

    We are searching for an organised and tenacious Event Coordinator who can enable us to continue to work quickly and in an agile way to create a resource and platforms that will leave a lasting legacy for future generations.

    To succeed, you will have some of the following skills and experience:

    • Proven experience as an events coordinator or similar, with a proven track record of successful event execution.
    • Excellent project management and organisational skills, with the ability to manage multiple events simultaneously and problem solve effectively.
    • Strong communication and interpersonal skills, with excellent negotiation skills and the ability to build and maintain relationships with clients and vendors.
    • ·Able to work independently and as part of a team in a fast-paced, deadline-driven environment.
    • The ability to work under pressure, adapt and remain calm when things might not be going to plan.
    • Experience with event planning software and tools would be beneficial although not essential.

    Benefits

    • Up to £33,000 per annum basic salary.
